RecruitBridge ("RecruitBridge," "we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains what information we collect, how we use it, when it may be shared, and the choices you have regarding your personal information.

1. Information We Collect

To provide RecruitBridge, we collect information you provide directly, including:

  • Name and email address
  • School and graduation year
  • Athletic and academic profile information
  • Email templates and recruiting campaigns
  • Notes and other content you create

We may also automatically collect technical information such as your IP address, browser type, device information, login activity, and usage statistics to improve platform performance, reliability, and security.

Payment information is processed securely through Stripe. RecruitBridge does not store your complete payment card information.

2. How We Use Your Information

We use your information to:

  • Create and manage your account.
  • Provide RecruitBridge services.
  • Save email templates and recruiting campaigns.
  • Send recruiting emails that you explicitly authorize through supported email providers, including Gmail and Microsoft 365.
  • Track email opens and replies when available.
  • Improve platform functionality, reliability, and security.
  • Respond to customer support requests.
  • Process billing and subscription activity.
  • Comply with legal obligations.

We do not sell your personal information.

3. Google and Microsoft Integration

RecruitBridge allows you to securely connect your Google account or Microsoft 365 account so you can send recruiting emails directly from your own email address.

Google Gmail

RecruitBridge requests only the following Gmail permission:

https://www.googleapis.com/auth/gmail.send

This permission is used solely to send recruiting emails that you explicitly create and choose to send through RecruitBridge. RecruitBridge does not send emails from your Gmail account without an action initiated by you.

RecruitBridge does not use this permission to:

  • Read your inbox
  • Read existing email messages
  • Access email attachments
  • Modify or delete email messages
  • Store Gmail message content from your mailbox
  • Analyze Gmail message content
  • Use Gmail data for advertising
  • Sell or share Gmail user data

Microsoft 365

RecruitBridge also allows you to securely connect a Microsoft 365 account.

RecruitBridge requests only the minimum Microsoft Graph permissions necessary to authenticate your account and send recruiting emails that you explicitly choose to send.

RecruitBridge does not use Microsoft permissions to:

  • Read your inbox
  • Read existing email messages
  • Read or download email attachments
  • Modify or delete email messages
  • Monitor mailbox activity
  • Use Microsoft account data for advertising
  • Sell or share Microsoft user data

Access to Gmail and Microsoft 365 is used only while performing actions that you initiate within RecruitBridge.

You may revoke RecruitBridge's access to your Google account or Microsoft 365 account at any time through your respective account security settings.

RecruitBridge's use and transfer of information received from Google APIs complies with the Google API Services User Data Policy, including the Limited Use requirements. RecruitBridge also complies with applicable Microsoft Graph API terms governing the use of Microsoft user data.

4. Sharing of Information

We do not sell or rent your personal information.

We may share limited information with trusted third-party providers when necessary to operate RecruitBridge, including:

  • Google for authentication and Gmail integration
  • Microsoft for Microsoft 365 authentication and email sending
  • Stripe for payment and subscription processing
  • Cloud hosting and infrastructure providers
  • Analytics and security providers
  • Other service providers necessary to operate RecruitBridge

These providers are permitted to process information only as necessary to provide services to RecruitBridge and are subject to their own privacy and security obligations.

We may also disclose information when required by law or when reasonably necessary to protect the rights, security, or safety of RecruitBridge, our users, or others.

Analytics and Session Insights

We use Google Analytics and Microsoft Clarity to understand website traffic, campaign attribution, signup progress, and usability. These services may process technical identifiers, device and browser information, page activity, and interaction data. We do not intentionally send names, email addresses, recruiting content, or payment-card information to these analytics services.

5. Data Security

RecruitBridge uses administrative, technical, and physical safeguards designed to protect your information.

  • Encrypted connections using HTTPS
  • Secure authentication
  • Role-based access controls
  • Secure cloud infrastructure
  • Routine security updates and maintenance
  • Restricted access to production systems and data

While we work to protect your information, no online service, transmission method, or storage system can guarantee complete security.

6. Data Retention

We retain personal information only for as long as reasonably necessary to provide RecruitBridge, maintain your account, comply with legal obligations, prevent fraud, resolve disputes, and enforce our agreements.

If you delete your account, we will delete or anonymize your personal information within a reasonable period unless we are legally required or otherwise permitted to retain certain records.

Certain billing, transaction, fraud-prevention, security, and legal records may be retained as required by applicable law or legitimate business needs.

7. Google API and Microsoft Graph Data

RecruitBridge does not permanently store mailbox content obtained through Google APIs or Microsoft Graph APIs.

Access to Gmail and Microsoft 365 is used only to send emails that you explicitly authorize through RecruitBridge. Google and Microsoft user data is never used for advertising, user profiling, or training generalized artificial intelligence or machine-learning models.

RecruitBridge does not transfer Google or Microsoft user data to third parties except as necessary to provide user-requested functionality, maintain security, comply with applicable law, or as otherwise permitted by the applicable platform policies.

8. Children's Privacy

RecruitBridge is not intended for children under the age of 13. We do not knowingly collect personal information from children under 13.

Users under 18 should use RecruitBridge only with the permission and supervision of a parent or legal guardian.

9. Marketing Communications

We may occasionally send emails regarding product updates, new features, recruiting resources, service announcements, and promotional offers.

You may unsubscribe from marketing emails at any time using the unsubscribe link included in those messages. Important account, billing, service, legal, or security notifications may still be sent.

10. Your Privacy Rights

Depending on applicable law and your location, you may have the right to:

  • Access your personal information.
  • Correct inaccurate or incomplete information.
  • Delete your account and associated information.
  • Request a copy of certain personal information.
  • Revoke RecruitBridge's access to your Google Account or Microsoft 365 account at any time through your respective account security settings.
  • Opt out of marketing communications.
  • Exercise other privacy rights available under applicable law.

We may need to verify your identity before completing certain privacy requests.

11. Third-Party Services

RecruitBridge integrates with third-party providers, including Google, Microsoft, Stripe, authentication providers, cloud hosting providers, analytics providers, and other services necessary to operate the platform.

These third parties maintain their own privacy policies and practices. We encourage you to review their policies when using services that interact with RecruitBridge.

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our services, technology, legal requirements, or business practices.

If significant changes are made, we may provide notice through RecruitBridge, by email, or through another appropriate method. The effective date shown at the top of this page indicates when the policy was last updated.
